RFQ completeness
List complete bicycles or frames, frame and wheel specification, material, geometry, motor and controller rating, battery chemistry, battery capacity and brake system. Quantities should state pieces or sets with variants separated. Identify mandatory requirements and acceptable alternatives; do not let an unknown value silently become an approval.
Quotation normalization
Ask possible suppliers to quote the same pack ratio, assembly level, accessory list and US destination. Compare MOQ by variant, sample charges, tooling, unit basis, payment assumptions and delivery scope. A lower ex-factory figure can become a higher procurement cost when excluded components, packing and freight are added.
Sample approval
Agree on the sample revision, evaluation conditions and acceptance notes before authorizing production. The buyer appoints an approver; the supplier confirms which item the sample represents. Check geometry, mounts, assembly and component identity against the brief. Sample timing and charges require a quotation.
Shipment terms
Request carton dimensions, gross weight, shipping configuration, battery-related transport documentation where applicable and the stated freight basis. Keep dispatch, transit and destination delivery separate. Supplier lead-time assumptions do not establish a fixed arrival date.
